Safety roles

The safety organization chart shows who, in an office, has a task in managing safety: the employer, the safety officer, the supervisors, the fire wardens and first aiders, the occupational physician. Each task is a safety role, and each role has one or more holders.

The chart belongs to an office and is found in its menu, under Safety org. chart.

There is no fixed list of roles. Each office has its own, each with a name and a description of its duties. They can be created from scratch, copied from another office or taken from the 4HSE templates, which contain the most common roles.

A role’s description is also the list of duties printed in the appointment letter.

A role is held by people of the office, employees or external, for example a consultant appointed as safety officer. A role can have several holders, like the fire wardens, and a person can hold several roles.

Every assignment has an existence period: the date from which the person holds the role and, if there is one, the date they stop. A concluded assignment stays in the history.

  • Required actions: the role’s Actions tab lists the prevention actions the role requires, for example the refresher course for fire wardens.
  • The role’s Certificates and Attachments.
  • Roles on actions: a safety role can be chosen as Manager, Assignee or Watcher of an action. Notifications then go to all its holders at that moment.
  • Recipients: a role can be the recipient of a prevention action.

The Manager, Assignee and Watcher roles of an action are not the same as safety roles: they say who handles that action (see Set default roles for new actions).

For each holder you can print the appointment letter, and for the whole office the safety organization chart.
