Health Surveillance

To access the Health Surveillance section:

  1. Select the relevant office

  2. Open the Actions dropdown menu and select Health Surveillance

This menu includes two sub-items: Prescriptions and Examinations.

Note: To ensure all newly added or modified data is displayed correctly, click the UPDATE button after each insert or edit operation.

You can add two types of prescriptions: standard and custom. To add a new prescription, click New and select the desired type. Then click Save to confirm.

Alternatively, instead of adding prescriptions one by one, the system allows for bulk import via the Import button located in the top toolbar.

Once prescriptions are added or imported, selecting the relevant row (or alternatively clicking the new window button) opens the detail window, which contains the following tabs:

  • DETAILS: Contains prescription details such as name, code, validity period, and any assigned supervisors, appointees, or observers.

  • PEOPLE: List of individuals associated with the prescription.

  • EXAMINATIONS: List of health surveillance appointments linked to the prescription.

  • RESOURCES: List of resources that can be associated with a prescription (task, role, equipment, environment, substance, work phase, PPE).

  • ATTACHMENTS: Files related to the prescription.

An examination is a scheduled appointment during which the prescribed medical check is carried out. Each examination can have one or more assigned employees. For each listed examination, the following columns are displayed:

  • Enrolled: Number of employees scheduled for the examination.

  • Passed: Number of employees who attended and successfully passed the examination.

  • Failed: Number of employees who either did not attend or did not pass the examination.

  • Pending: Number of employees whose examination outcome has not yet been recorded.

  • Date: The date of the examination.

  • Type: The type of examination.

  • Location: The examination venue.

To assign recipients to a prescription, select the desired prescription and go to the People tab:

  1. Click New and select the individuals to assign

  2. Click Save to confirm. The assigned individuals will appear in the tab.

For each person, the following information will be shown:

  • Code: The person’s identification code.

  • Name: The person’s name.

  • Last Certificate: The date of the last successfully completed examination for which a certificate was issued.

  • Certificate Expiry: The expiration date of the last valid certificate for this prescription. If empty, the certificate does not expire.

  • Last Examination: Date of the most recent examination, either completed or scheduled.

  • Status: The prescription status for this person:

  • New: No certificate is available for this prescription.

  • Valid: A valid certificate is present for this prescription.

  • Expired: All certificates for this person related to this prescription are expired.

Once the recipients of a prescription have been assigned, a new examination can be scheduled for that prescription. To do so:

  1. Select the Examinations menu item

  2. Add a new examination by clicking the New menu

  3. Click Select to choose the associated prescription

  4. Fill in the fields and assign any supervisors, appointees, or observers

  5. Click Save to confirm

Alternatively, you can create a new examination directly from the Examinations tab within the Prescriptions menu item. In this case, the new examination will already be listed among the scheduled examinations.

To enroll a person in the examination, follow a similar procedure as for prescription assignment. Select the desired examination and go to the People tab:

  1. Click New and select the individuals to enroll

  2. Click Save to confirm. The enrolled individuals will appear in the tab, and the status will display as Pending

  3. To change the status, and therefore indicate whether the examination was passed, double-click the Pending status or click the new window button at the beginning of the selected row.

  1. Once the Status has been updated (e.g., to Passed), you can either save by clicking Save, or proceed directly to issuing the certificate by clicking the icon showing a certificate with a ribbon. If the certificate is issued, a certificate icon will appear in the Certificate column. Clicking this icon will open a new window where you can edit the data, add attachments, and print the certificate.

Once the procedure is completed, if you return to the Prescriptions section, you will notice that the People tab is now populated with:

  • Last Certificate

  • Certificate Expiry

  • Last Examination

  • Status: which will now show as VALID

An additional feature available to users is the ability to bulk-create certificates, enabling the selection of multiple people at once, streamlining the process.

To proceed:

  1. Go to the Prescriptions menu and click the Guided Procedures dropdown

  2. Select Bulk Certificate Creation

  1. Select the recipients and review the displayed data: name, issue date, expiry date, prescription, warnings, description, protocols, and result.

  2. Click Confirm

  3. The certificate can be accessed by selecting the Examinations menu and choosing the row for the desired individual in the People tab, just as shown earlier.
